Configuring the OA Module
Basic configurations that will help you maximise the module potential
Introduction
In this episode, we cover the basic steps required to configure the Online Assessment (OA) module to align with your OA strategy as closely as possible. It’s important to remember that implementation should not begin until you have:
- A well-defined strategy
- A thoroughly planned and created questionnaire
Proper preparation ensures the module is set up effectively and meets your objectives.
Enabling Portal
Under System / Settings / Authentication enable the Online Assessment portal by simply toggling the switch.
Once the portal is enabled, you can find the portal URL for your Online Assessments (OAs) by clicking on the item menu and selecting “Unique Portal URL.” Depending on the authentication setting defined for the OA, two types of URLs may be shown:
- Authenticated OAs: The URL requires users to log in with a username and password.
- Non-Authenticated OAs: The URL is unique to the OA and does not require login credentials, simplifying access for respondents.
These URLs provide a direct link to the OA portal for participants based on your chosen authentication method.
Evaluation Field
Before creating Online Assessments (OAs), you need to configure the module to align with your evaluation method. This typically involves setting up custom fields to document and evaluate outcomes effectively.
To configure this, navigate to the OA menu bar, click on “Customisation”, and make the necessary adjustments. For detailed guidance on how to use and configure custom fields, refer to the customisation documentation. Proper setup ensures that the module reflects your specific assessment needs.
Your custom fields will be reflected on the OA edit action as shown on the screenshot below:
You will most likely want to adjust filters in the OA module to show new dropdown fields you have created as part of your result strategy.
Tracking
As part of your strategy, you should define which modules in Eramba will be associated with your Online Assessments (OAs). To keep things streamlined, we recommend using custom fields and removing any unnecessary associations, leaving only the ones you require.
For example, if your OAs are meant to be associated with Third Parties (suppliers), ensure that only the Third Party module is available on the form. This approach keeps your configuration focused and aligned with your assessment objectives.
When creating or saving an Online Assessment (OA), you can associate the OA with specific suppliers. This association allows you to easily track which OAs are linked to each supplier in the Third Party module, providing a clear overview of assessments conducted for each supplier.
